Privacy Policy
What we collect when you use this website, why we collect it, who we share it with, and how long we keep it.

Chi Mino Ozhitoowin LP (“Chi Mino Ozhitoowin”, “we”) is a First Nation–owned limited partnership based in Thunder Bay, Ontario. This policy explains how we handle personal information collected through cmo-fn.ca. It follows Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada’s Anti-Spam Legislation (CASL).
It covers this website only. Ode’min Circle (odemincircle.ca), our Facebook and Instagram pages, and the websites of our partner First Nations and employers each have their own practices and their own policies.
What we collect, and when
We only collect personal information that you type into a form and submit. There is no account to create, and we do not buy or receive personal information about you from anyone else.
When you apply for a job
Your name, email address, phone number, any cover note you write, the community you choose to identify with (optional — “Prefer not to say” is always available), and the résumé file you upload, along with its filename and size.
When you register for a workshop or training session
Your name, email address, phone number, and your optional community self-identification. If we ask you to confirm attendance closer to the date, we record whether you confirmed or declined.
When you ask to work with us as a business
Your name, business name, email address, phone number, your message, and the office-hours window you selected.
When you sign up for job or workshop alerts
Your email address, and the dates you confirmed and (if applicable) unsubscribed. Nothing else.
When you use the “Send a message” or newsletter forms
These two forms open your own email application with the message filled in — nothing is sent to us or stored on this website until you press send in your email app. What reaches us is an ordinary email.
Website analytics
This website sets no cookies and does no advertising tracking. There is no consent banner because there is nothing to consent to.
To understand which pages are useful, we record each page view: the page address, the website you arrived from (the domain only), your country, and whether you are on a phone, tablet or desktop. To count returning visits without cookies, we store a one-way scrambled code made from your IP address and browser type. That code is regenerated daily and cannot be reversed to identify you or linked across days.
Our hosting provider also collects aggregate traffic and page-speed measurements. Your IP address is used momentarily to limit how many times a form can be submitted from one connection, to prevent abuse. It is never written to our database.
How we use it
We use what you send us for the purpose you sent it for: to consider your application, to hold your place in a session, to answer your question, or to send you the alerts you asked for. We also use it to reply to you, and in aggregate (with names removed) to report on how many people the project is reaching.
We do not sell personal information, we do not rent or trade mailing lists, and we do not use what you send us for advertising.
Who we share it with
Employers, when you apply for their posting
Our job board carries openings from partner employers as well as our own. When you apply through this website for a role with a partner employer, we send that employer your application — including your name, contact details, community if you provided one, cover note and your résumé — so they can consider you. Replies from that employer go directly to you. Once your application is with an employer, their own privacy practices apply to it, and we cannot recall it on your behalf.
If you would rather apply to an employer directly instead of through us, every posting names the employer so you can.
Inside Chi Mino Ozhitoowin, what you submit goes to the staff member responsible for that area — recruitment and training, business development, or communications — and not more widely.
Service providers
We rely on a small number of companies to run this website. They may process personal information only to provide their service to us:
- Supabase— our database and the private storage where résumé files are kept.
- Vercel— website hosting, plus aggregate traffic and page-speed measurement.
- Resend— delivery of the emails we send you, such as application confirmations and alerts.
We may also disclose personal information where the law requires it, or where it is necessary to protect someone’s safety or our legal rights.
Where your information is stored
Your information is stored in Canada. Our database and the private storage holding résumés and documents are located in Canada, and the servers that process what you submit run here too.
Two things still cross the border, and we would rather say so than imply otherwise: the service that delivers our email operates outside Canada, so a message we send you — including an application forwarded to an employer — passes through it; and our aggregate traffic measurement is processed outside Canada. That measurement contains no names or contact details.
If you would prefer not to send a résumé or personal details through this website, you are welcome to contact the relevant staff member directly and arrange another way.
How long we keep it
- Job applications and résumé files are deleted 90 days after they have been delivered to the employer or hiring manager. Both the record and the uploaded file are removed.
- Links to a résumé file that we include in an internal email stop working after 14 days.
- Workshop and training registrations are kept while the session is being planned and run, and afterwards for our attendance and reporting records.
- Business development requests are kept as an ongoing record of who we have worked with.
- Email alert subscriptions are kept until you unsubscribe. We keep a record that you unsubscribed so that we do not email you again.
- Analytics records are kept as a history of site traffic. They contain no names or contact details.
Your consent, and email
Submitting a form is your consent for us to use that information for the purpose the form describes. You can withdraw consent at any time by contacting us, though doing so may mean we cannot continue with an application or registration already underway.
Our email alerts use confirmed opt-in: after you enter your address we send you an email, and you are not added to the list until you click the link in it. Every alert we send includes an unsubscribe link that works immediately, without needing to contact anyone.
How we protect it
The website is served over an encrypted connection. Résumés are held in private storage that is not publicly reachable and is not indexed by search engines. Access to applications and registrations is limited to signed-in Chi Mino Ozhitoowin staff whose role covers that area, and staff sign in with a one-time code sent to their work email rather than a shared password.
No system is perfect. If we ever discover a breach that creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as the law requires.
Seeing, correcting or deleting your information
You have the right to ask us:
- what personal information we hold about you, and to be given a copy;
- to correct anything that is wrong or out of date;
- to delete what you have sent us, where we are not required to keep it;
- to explain how we used it and who we shared it with.
Write to info@cmo-fn.ca and we will respond within 30 days. There is no charge. We may need to confirm your identity first, so that we do not hand your information to someone else.
If you are not satisfied with how we have handled your privacy question, you can complain to the Office of the Privacy Commissioner of Canada.
Young people
This website is meant for adults and for youth old enough to work or to take part in training. We do not knowingly collect information from children. If you believe a child has sent us personal information, contact us and we will delete it.
Changes to this policy
If we change how we handle personal information, we will update this page and the date at the top. Material changes will be announced on the site.
